The Financial Services Assistant is part of the Financial Services team in the Office of the Bursar. This position will coordinate and administer all activities related to the refund check program. Financial Services Assistant is responsible for managing all aspects of third-party contracts related to corporations and embassies. They process all tuition payments from payment vendors and prepare necessary documentation. They process in person student payments and petty cash reimbursement. They also coordinate all front counter activities and provide excellent customer service as the initial contact for students, parents, faculty, and staff who visit the Bursar Office.

Duties and Responsibilities

1. Coordinate and process all tasks related to refunds including but not limited to issuing refunds and voids, maintaining refund logs, and contacting students with uncashed checks.

2. Perform all banking related functions including positive pay, uploading files and monitoring direct deposit returns.

3. Responsible for maintaining knowledge on current federal regulations directing the handling of refunds, timeline and disposition of unclaimed funds.

4. Assist with training and educating student workers.

5. Possess and maintain a working knowledge of PeopleSoft procedures and processes needed to navigate the Cashiering functions; ability to navigate within the system to be able to service students in all aspects of their Student Accounts. Must be able to understand and identify the different transactions that post to Student Accounts and explain fees, financial aid, housing charges and adjustments.

6. Process all tuition payments from payment vendors and prepare necessary documentation.

7. Process all tuition/housing deposits received from Undergrad Admissions, Grad School, Law School, Dental School, Nursing, and other special programs.

8. Post adjustments directly to students’ accounts

9. Process all Bursar incoming mail.

10. Create corporations/embassy third-party contracts, assign students to said contracts, and track student charges/credits throughout the semester to maintain accuracy of billings. Request and distribute billings to various corporations/embassies, and post payments when received.

11. Serve as backup to other Financial Services Assistant position.


12. Provide assistance with special projects and reports as needed.

13. Maintain an understanding of the functions of various university offices and how they relate to the student and the Bursar Office.

14. Send communications to students with returned payments.

15. Reconciliation of cash drawer as backup to other Financial Services Assistant.

16. Prepare change orders for university departments.

Required Knowledge, Skills and Abilities

Associate degree in Finance, Accounting or 2 years of equivalent work experience required

Excellent interpersonal communication skills

Superior customer service skills

Excellent attention to detail

Ability to work independently and as part of a team

Effective written and oral communication skills

Must possess superior organizational skills

Ability to analyze and interpret data

Experience in a financial services setting

Ability to use office equipment, including personal computers

Solid working knowledge of Microsoft Word and Excel

An appreciation of and sensitivity to diverse cultures and lifestyles

Understanding of and commitment to MU’s Vision, Mission and Values

Preferred Knowledge, Skills and Abilities

Bachelor’s degree preferred.

Strong aptitude for figures with a high degree of accuracy necessary.

Knowledge of PeopleSoft helpful.

Work experience in a Financial institution and/or university preferred.
